Administrative and Communications Assistant

Job Description 
The Canadian Journalism Foundation (CJF) is a not-for-profit organization that promotes and celebrates excellence in journalism. The CJF is seeking a motivated and hard-working individual to take on the role of Administrative and Communications Assistant.

Reporting to the Office & IT Manager, this position is responsible for supporting the development and delivery of a new news literacy initiative during and between elections, launching in the spring of 2018.  The position is also responsible for providing general office support for daily operations, and requires strong communication skills, computer skills, excellent interpersonal skills, and the ability to work well in a team environment as well as with all levels of staff, stakeholders and partners.

This position will be of particular interest to an individual who is a highly organized self-starter and enjoys having the broad range of responsibilities that goes with working in a small organization.

Essential Functions/Responsibilities

RESEARCH
•    Conduct research on a variety of topics, ranging from contact information for individuals to environmental scans for new projects/programs

EVENT PLANNING SUPPORT
•    Assist with execution, tracking and evaluation of monthly events
•    Assist with collecting accurate registration information from guests
•    Book travel arrangements for speakers and special guests
•    Liaise with volunteers at events, assist with promotion, etc.
•    Provide other event support as required

GENERAL ADMINISTRATION
•    Maintain office supplies and filing system, and complete general office duties and coordinating mail-outs and courier services
•    Some data entry required
•    Prepare and follow-up on invoices and provide other administrative support as required 
•    Organizing and scheduling meetings and appointments
•    Write and distribute email, correspondence memos, letters, and forms
•    Assist in the preparation of regularly scheduled reports
•    Assist with modest bookkeeping/budget tracking

Qualifications 

The ideal candidate will be a professional with:
•    Experience in event organization
•    Strong knowledge of office software including Word, Excel, Publisher and Outlook required
•    Knowledge of Google Docs is an asset
•    Strong problem solving abilities
•    Strong research acumen
•    Accuracy and high attention to detail is key
•    Excellent interpersonal and organizational skills
•    Excellent oral and written communication skills
•    Experience in data entry and donation handling an asset
•    Understanding that extended hours are necessary for events
